Job Position 1 – Data Entry Sales Clerk

Required Qualification and Experience
Education: Bachelor’s degree in Accounting, Finance, IT, Business Administration, or a related field.
Professional certification in data entry, sales, finance, or supply chain management (e.g., CPA, SAP, Supply Chain certifications).
B. Experience:
A minimum of 2 years of experience in data entry, sales support, or administrative roles, preferably in distribution, retail, or supply chain industries.
Previous experience in handling sales data, managing customer records, and working with invoicing systems is preferred.
Experience with enterprise resource planning (ERP) systems or sales management software (e.g., SAP, QuickBooks, Salesforce) is an advantage.
Experience in payment reconciliation and working with finance or accounts receivable teams is a plus.

Key Responsibilities:
Data Entry and Sales Order Processing:
Accurately enter sales orders and customer data into the system in a timely manner.
Verify and process customer orders, ensuring product details, pricing, and payment information are correct.
Maintain and update customer records, ensuring all sales data is organized and up-to-date.
Generate sales invoices based on customer orders and payment terms.
Customer Interaction and Support:
Provide assistance to customers with inquiries related to orders, payment statuses, and product availability.
Communicate any issues with customer orders or payment discrepancies, ensuring customer satisfaction.
Collaborate with the sales team to address customer concerns and improve the sales process.
Invoicing and Documentation:
Ensure accurate and timely invoicing for all sales transactions, aligning invoices with purchase orders and shipment details.
Maintain a digital and paper filing system for all sales orders, invoices, and receipts.
Assist in the preparation of monthly or quarterly financial reports related to sales performance.

Payment Reconciliation:
Assist the finance team in reconciling payments against sales records to ensure accuracy.
Monitor and track customer payments, following up as necessary to ensure timely receipt.
Ensure accurate record-keeping of all payment transactions, including cash, check, and electronic payments.
Collaboration with Sales, IT, and Finance Teams:
Coordinate with the sales department to track orders, resolve issues, and support sales initiatives.
Collaborate with the finance team to ensure accurate billing and payment records.
Work with the IT department to troubleshoot any system-related issues affecting sales data entry or payment processing.

Sales Reporting and Analysis:
Prepare and maintain daily, weekly, or monthly sales reports, ensuring all data is accurate and up to date.
Assist in tracking sales trends and performance, providing insights to the sales and finance teams.
Assist in inventory management by ensuring sales data is aligned with supply chain records.
Compliance and Security:
Ensure that all sales and payment data is handled in accordance with company policies, procedures, and regulatory requirements.
Adhere to company guidelines for data security, ensuring customer information and financial records are protected.
Follow internal processes for auditing and reporting sales transactions.

General Administrative Support:
Perform general administrative tasks related to the sales department, such as filing, organizing, and maintaining sales records.
Assist with other clerical tasks as needed by the sales or finance departments.

Job Position 2 – Executive Assistant

Required Qualification and Experience
Education: Bachelor’s degree in Business Administration, Office Management, or a related field.
Proven experience as an executive assistant or in a similar role, with a minimum of 3-5 years of experience.
Exceptional organizational and time management skills.
Strong written and verbal communication skills.
Proficiency in office software and tools, including Microsoft Office.
Discretion and the ability to handle confidential information.
Ability to work independently and effectively prioritize tasks.
