Required Qualification and Experience
Education: A qualification in a relevant field is desirable but not mandatory.
Previous experience providing high level support to senior management.
Well-developed oral and written communication skills in English and Amharic, and interpersonal skills.
Strong planning and organisational skills, demonstrated ability to work independently, apply initiative and work under pressure to meet changing priorities, deadlines and objectives.
Computer literacy in Windows, Microsoft Office, and Adobe Reader. Experience using data management systems is desirable.
Good judgment, decision making and problem-solving ability.
About the position
Under direction, the Executive Assistant (EA) provides high level administrative support to the Australian Ambassador (Head of Mission – HOM), including day-to-day liaison with key contacts, coordinating appointments and events, arranging travel and management of Ambassador’s official and representational activities. The EA is part of a strong, professional team, and works closely with other corporate staff to provide general administrative support. The role also provides research and writing support to the policy team. The position is required to work collaboratively with various sections within the Embassy to achieve corporate objectives as needed. Provide backup for other roles, supervise event support staff and perform other duties as directed.
Key responsibilities of the position include but are not limited to:
Provide high level support to the HOM, including managing a daily schedule, making appointments, escorting official visitors and providing comprehensive administrative support.
Research and report on relevant contacts and topics, including domestic political and international policy in Ethiopia and countries of accreditation.
Coordinate all travel arrangements and program preparations for the HOM’s travels, liaise with relevant stakeholders, and provide effective management of administrative systems.
Develop and strengthen relationships to enable and enhance HOM access, negotiate and liaise across a senior level of network contacts, and maintain productive relationships with key individuals and organisations to facilitate HOM objectives.
Contribute to the management of regular representational functions and events, such as the Australia Day function, including direct liaison with functions-related clients.
Maintain and develop collaborative working relationships with external providers and contacts.
Prepare and process financial transactions, acquittals and reports in accordance with departmental guidelines and legislative requirements.
Prepare a range of routine correspondence to a high standard and manage incoming and outgoing correspondence including managing group inbox, and Third-Person Notes (TPNs).
Assist with the coordination and delivery of VIP visits, including airport facilitation, hotel arrangements and transport as required.

About the position
Under direction from the Property and Facilities Manager, this position is responsible for performing routine building cleaning services at the Embassy. This position may be required to provide backup support in the reception area and escort official visitors.
Key responsibilities of the position include but are not limited to:
Clean building floors by sweeping, mopping, scrubbing, and/or vacuuming.
Dust furniture, walls, machines, office equipment and outdoor areas.
Gather and dispose of rubbish and recycling.
Service, clean, and supply restrooms.
Request supplies and equipment needed for cleaning and maintenance duties.
Monitor building safety and notify managers concerning potential hazards and risks to safety of staff, building and/or equipment.
Follow procedures for the use of chemical cleaners and power equipment in order to prevent damage to floors and fixtures.
Assist with moving furniture, equipment, and supplies following supplied equipment instructions and WHS standards.
